Job Description

Remote is seeking multiple Senior Project Support Officers to support the Department of Home Affairs. The Project Officers will report to a Project Manager, supporting the delivery of ICT projects. Success in this role requires strong project coordination skills, attention to detail in project documentation, and effective communication and stakeholder engagement. (RFI 33-2526)

Role Description

Responsibilities include:

  • Assist the Project Manager in delivering ICT project outcomes, focusing on implementation in partnership with internal and external delivery providers.
  • Coordinate project activities, including planning, scheduling, resource allocation, cost management, task management, and status reporting.
  • Conduct procurement activities to support project requirements.
  • Develop and maintain high-quality project documentation, including project plans, status reports, and meeting minutes.
  • Support stakeholder engagement and communication, including preparing project updates and responding to stakeholder inquiries.
  • Assist in the coordination of project meetings, workshops, and other events.
  • Support the Project Manager in identifying and mitigating project risks and issues.
  • Collaborate with internal and external stakeholders to ensure project deliverables are met.
  • Maintain accurate and up-to-date project records and files.
  • Provide guidance, coaching, and knowledge transfer to team members.

Skills required:

  • PROF 5. Takes responsibility for the provision of portfolio, programme and project support. Advises on the available standards, procedures, methods, tools and techniques.

Evaluates project and/or programme performance and recommends changes where necessary. Contributes to reviews and audits of project and programme management to ensure conformance to standards.

  • SORC 5: Provides authoritative guidance and leadership in managing the procurement or commissioning of products and services, works under broad direction, and is accountable for significant outcomes. 
  • IRMG 5: Ensures and advises on good information management practices across an organisation, providing authoritative guidance and taking responsibility for significant work outcomes. 
  • METL 5: Ensure that methods and tools are effectively implemented and used throughout the organisation, often by influencing stakeholders at a senior level. 
  • FMIT 5: providing authoritative guidance, ensuring compliance, developing high-level financial plans, and supporting strategic decision-making by summarizing trends and variances. 

Desirable qualifications:

  • Prince2 Foundation Certification.
  • AlPM CPPP Certification.

Required knowledge/experience and tools:

  • 5 years project-related experience and/or Project Officer role.
  • Familiarity with project management methodologies and practices, such as Prince2 and PMBOK, and ability to assist in their application in a project setting.
  • Proficiency using project management tools.
