Job Description

Remote is seeking a Senior Project Support Officer to join the team in ASD. ASD seeks a Project Officer who can think critically and utilise their excellent problem solving skills, as well as undertake negotiations, delegate effectively, and make timely decisions. The Senior Project Support Officer will support the delivery of innovative capabilities to through a variety of different programs and projects. The successful candidate will be required to oversee ICT projects under limited direction.

The Senior Project Support Officer will be a highly organised, dynamic, outcome orientated individual with excellent communication skills who is confident to break down large ICT projects into discrete work packages from concept to delivery, for a diverse range of customers.

The Senior Project Support Officer will be responsible for supporting the implementation of ICT projects, including defining the scope and requirements, developing plans and schedules, overseeing and planning resource allocation and work packages, managing risks and issues and communicating formally and informally on the project’s progress. Role Description

Job Duties and Responsibilities include:

  • Responsible for development and successful completion of procurement submissions and supporting documentation in accordance with legislation and Commonwealth and agency procurement guidelines and procedures.
  • Deliver effective contract management support, including contract variations, the receipt and review of contract deliverables and the administration of contract closures.
  • Ensure planning and delivery of major project milestones are in accordance with financial requirements.
  • Provide effective administration of finances and budgets, including management of project record keeping requirements and systems; secretariat support for project meetings and forums; development of briefs and minutes, monthly reporting, yearly financial planning and future budget planning.
  • Manage project assets, including monthly reporting, quarterly reviews, and asset rollouts. 

Technical Skills

  • High-level proficiency in the use of Microsoft Office suite products including:
  • Word: styles, formatting, templates

** Excel: referential formulae, financial planning and actuals records

** PowerPoint: professional slide decks for Executive briefings; master layout changes

** Project: schedule maintenance and analysis

  • Demonstrated experience in and knowledge of ICT projects.
  • Demonstrated experience and competence in budgeting, project accounting, and financial reporting procedures for Government major projects.
  • Demonstrated experience in asset and records management
  • Knowledge of ASD finance, procurement and asset management policies, processes, and frameworks.
  • Demonstrate experience in the use of Government Financial and Asset Management systems. 

Essential criteria

  • RLMT 5 - Stakeholder relationship management Identifies the communications and relationship needs of stakeholder groups. Translates communications/stakeholder engagement strategies into specific activities and deliverables. Facilitates open communication and discussion between stakeholders. Acts as a single point of contact by developing, maintaining and working to stakeholder engagement strategies and plans. Provides informed feedback to assess and promote understanding. Facilitates business decision-making processes. Captures and disseminates technical and business information.
  • PROF 4 - Portfolio, programme and project support Supports programme or project control boards, project assurance teams and quality review meetings. Takes responsibility for the provision of support services to projects. Uses and recommends project control solutions for planning, scheduling and tracking projects. Sets up and provides detailed guidance on project management software, procedures, processes, tools and techniques. Provides basic guidance on individual project proposals. May provide a cross programme view on risk, change, quality, finance or configuration management.
  • PRMG 4 - Project management Defines, documents and executes small projects or sub-projects. Works alone or with a small team actively participating in all phases of the project. Applies appropriate project management methods and tools. Identifies, assesses and manages risks effectively. Agrees project approach with stakeholders and prepares realistic project plans (including scope, schedule, quality, risk and communication plans). Tracks activities against the project schedule, managing stakeholder involvement as appropriate. Monitors costs, times, quality and resources used takes action where these exceed agreed tolerances.

Other information:

  • This is a full-time role and based in Canberra with limited official domestic and/or international travel may be required to be undertaken on behalf of the Commonwealth.
