Job Description

Remote is seeking an Administration Assistant to join the team in Home Affairs. The Administration Assistant will provide administrative assistance to the Technology team, including answering phones, responding to emails, and managing calendars. They will coordinate, meetings, and events for team members, maintain accurate and up-to-date records, files, and databases. (RFI 25-2425)

Role Description

Key Responsibilities

Administrative Support:

  • Provide administrative assistance to the Technology team, including answering phones, responding to emails, and managing calendars.
  • Coordinate, meetings, and events for team members.
  • Maintain accurate and up-to-date records, files, and databases.
  • Data entry into databases

Communication and Coordination:

  • Act as a liaison between the Technology team and other departments, ensuring effective communication and collaboration.
  • Coordinate with external vendors, suppliers, and partners as needed.
  • Develop and maintain relationships with stakeholders to ensure smooth project execution.

Project Support:

  • Assist the Technology team with project coordination, including scheduling, resource allocation, and status updates.
  • Help track project progress, identify potential roadblocks, and provide support to ensure timely completion.

Documentation and Reporting:

  • Create, edit, and maintain technical documents, reports, and presentations.
  • Develop and implement effective documentation processes to ensure knowledge sharing and continuity.

Mandatory Qualifications:

  • 1-2 years of experience in an administrative role.
  • Strong organisational and communication skills.
  • Ability to maintain confidentiality and handle sensitive information.

Desirable Qualifications:

  • Certificate or higher in Administration, Technology, or a related field

Required Knowledge/Experience and tools:

  • Proficiency in Microsoft Office, including Excel, Word, and Outlook.
