Job Description

Remote is seeking a Project Support Officer to join the team in ASD. The Project Officer (PO) is accountable under general direction to provide effective administration to an ICT program, supporting the delivery of innovative capabilities to Defence through a variety of programs and projects.

The PO will be a highly organised, dynamic, outcome orientated individual with excellent communication skills who is confident to break down large projects into discrete work packages from concept to delivery, for a diverse range of customers.

The PO is responsible for supporting the delivery of projects, including defining the scope and requirements, developing plans and schedules, overseeing and planning resource allocation and work packages, managing risks and issues and communicating formally and informally on the project’s progress. ASD seeks a PO who can think critically and utilise their excellent problem solving skills, as well as undertake negotiations, delegate effectively, and make timely decisions. (LH-03050)

Role Description

Job Duties and Responsibilities

  • Provide effective general administrative support including program reporting, management of project record keeping requirements and systems; secretariat support for project meetings and forums; development of agreements, briefs, minutes and other communications.
  • Assists with the development and successful completion of procurement submissions and supporting documentation in accordance with Commonwealth legislation, and Commonwealth and agency procurement guidelines and procedures.
  • Responsible for effective project administration support including schedule maintenance, risks and issues tracking, financial administration and resource management.
  • Assists all project areas with their financial tasking. Contributes to financial planning and budgeting. Collates required financial data and reports for analysis and facilitate decision-making.
  • Deliver effective contract management support including contract variations, the receipt and review of contract deliverables and the administration of contract closures.
  • Using existing tools and processes provide configuration control over project configuration items and assets including processing of assets transfers.

The PO role requires candidates to possess the following skills and qualifications:
Essential: 

  • Demonstrated experience in supporting complex ICT projects.
  • Ability to work collaboratively and constructively as part of a team to ensure the timely delivery of a quality ICT capability.
  • Demonstrated experience in the use of Defence Financial systems.
  • Excellent organisational and communication skills.

Desirable:

  • Knowledge of technology capability lifecycle.
  • Project and Program assurance and risk management.
  • Demonstrated experience in asset and records management.

Essential criteria

PROF 4 - Takes responsibility for the provision of support services to projects. Uses and recommends project control solutions for planning, scheduling and tracking projects. Sets up and provides detailed guidance on project management software, procedures, processes, tools and techniques. Supports programme or project control boards, project assurance teams and quality review meetings. Provides basic guidance on individual project proposals. May be involved in aspects of supporting a programme by providing a cross programme view on risk, change, quality, finance or configuration management.

QUMG 4 - Assists in the development of new or improved practices and organisational processes or standards. Assists projects, functions or teams in planning the quality management for their area of responsibility. Facilitates localised improvements to the quality system or services.

FMIT 4 - Monitors and maintains all required financial records for compliance and audit to all agreed requirements. Assists all other areas of IT with their financial tasks, especially in the areas of identification of process, service, project and component costs and the calculation and subsequent reduction of all IT service, project, component and process failures. Contributes to financial planning and budgeting. Collates required financial data and reports for analysis and to facilitate decision-making.
